Client Spotlight: Kyleah Conveyancing uses software to go completely paperless

When Kyleah Conveyancing launched in mid-2021 with the idea to run a compete paperless firm, many were sceptical. However, owner and licensed conveyancer Lana Flower has well and truly succeeded after partnering with digital solution, triConvey, to help service her eConveyancing needs.

The firm, located at Mountain View in the West Gippsland region of Victoria, has run a paperless conveyancing service for nearly a year.

Working from home, Lana finds that pairing an efficient Software and integrated Search platform helps her provide a high level of service to her clients.

Lana explained: “We started from scratch about a year ago when I became licenced. It’s been hard starting from scratch but doing it our way means we haven’t been influenced by anyone else’s habits or processes either, helping us run a paperless office.

“Although I rarely meet my clients face-to-face it doesn’t mean we can’t have a really good relationship. They need to be supported and feel comfortable with you doing the biggest thing they’ve ever done in their life. Which is where triConvey has helped us greatly.”

“I believe conveyancing is not just about getting our clients from point A to point B,” she said.

A paperless business solution

One strategy Lana uses to help build this reputation, is to provide a solution available to all homebuyers and sellers, no matter their geographic location.

She explained by being paperless, it allows KC to take on clients throughout Victoria. Not only that, but it helps her firm save in typical paper-based office costs.

“Being a paperless workplace means we store all our files digitally; we have no need for a shipping container out the back or the storage unit down in the city where we have to keep everything forever,” she said.

“We store everything in triConvey and any documentation we receive in paper we immediately scan or convert into electronic format and store in the relevant matter card.

“That way, if something happens to our office, firm or files, the information or documents can still be accessed without needing to find a piece of paper.

“We complete our entire conveyance electronically so triConvey matches perfectly to what we’re trying to achieve at Kyleah Conveyancing.”

Lana added that while saving in admin and office costs, operating a digital conveyance also prevents any costly mistakes.

“We don’t have time in this industry to be looking for missed things or re-doing work. Which is why data entry is so important to us,” she explained.

“The more times you enter the same details, the more chance you have of making mistakes like spelling a name wrong, which can become a big problem down the track if you don’t notice.

“With triConvey however, you do it once and it flows all the way though, making a big difference to how we can get our work done so efficiently.”

Kyleah Conveyancing is also supported by a single dedicated Support team for both its Search and Software queries.
